Pre-service evidence
- Photograph or video-record any defroster defects at the time they occur — incomplete clearing, slow operation, intermittent failure
- Note specific incidents — defrost not activating, climate system warnings, ambient temperatures during which the issue was observed — with dates
- Screenshot the Lexus app status pages, showing any reported climate system errors
Service advisor interaction
- Record the full name of the service advisor and the technician performing the work
- Note whether the service is classified as recall, warranty, or goodwill — these classifications affect future warranty rights and resale documentation
- If the visit occurs in warm weather and the defroster cannot be tested at operationally relevant temperatures, request written acknowledgment that follow-up verification at cold conditions may be needed
- If the advisor states that an OTA update has been delivered for VIN [VIN] but the defroster behavior remains unchanged, request written documentation of the diagnostic steps before any release
Repair authorization
- Recall remedies are performed at no charge to the owner; do not authorize any charge for parts or labor associated with the documented recall

OTA delivery does not always produce a corresponding entry in the dealer-side service record. The closure of a recall delivered over the air requires explicit documentation through the dealer system, not the OTA install message alone.
Climate control defects affecting compliance with FMVSS 103 (or regional equivalents) are safety-classified rather than convenience-classified. The regulatory basis affects how the campaign is documented and how it appears in resale documentation.
