Owner communication templates
Free communication templates for EV owners dealing with recalls, service delays, and manufacturer escalation. A four-stage pathway from initial VIN inquiry to formal regulatory complaint.
Important: These are informational templates, not legal advice.
EV Risk Index is not a law firm. The templates below help you communicate clearly with manufacturers, dealers, and regulators — tasks every owner has the right to do for free. If you believe your situation requires legal counsel — for example, if you are considering a lemon-law claim or have suffered injury or substantial financial loss — please consult a licensed attorney in your jurisdiction.
Help other owners — file with the regulator early
Regulatory complaints to NHTSA, Transport Canada, DVSA, and other authorities feed national defect databases. Each report contributes to pattern detection that can trigger formal investigations and recalls — protecting other owners of the same vehicle, not just you.
You can file a regulatory complaint at any time, even before contacting your manufacturer or dealer. The four-stage escalation pathway below is for resolving your specific repair situation; the regulatory complaint is a separate channel that helps every owner of your vehicle.
The four-stage escalation pathway
Most issues resolve at Stage 1 or Stage 2. Stages 3 and 4 are reserved for unresolved problems where the prior stage has not produced a satisfactory result.
How to use this pathway
Document everything
Keep written copies of every letter sent, every response received, every phone call summary. Regulators and (if it ever comes to it) attorneys give significant weight to consistent documentation showing a good-faith escalation pathway.
Be patient between stages
Wait the full response window before escalating — 30 days for manufacturer letters, 10 business days for dealer letters. Premature escalation weakens the credibility of your documentation pathway.
Consider professional advice if the situation becomes serious
If your vehicle has caused injury, substantial property damage, or significant financial loss — or if you are considering a lemon-law claim — please consult a licensed attorney in your jurisdiction. These templates support communication; they do not substitute for legal representation.
